How do I fix incorrect or missing auto-populated fields (dates, names, checkboxes, initials) in my intake packet Dynamic Files?
Dynamic Files in Bolt's PDF Engine can be configured to auto-populate (pre-fill) certain fields—such as patient names, dates, initials, intake agent names, and checkboxes—based on data already entered in the patient's intake workflow. Sometimes these fields need adjustment: a field may be populating when it should be left blank for manual entry, populating with the wrong data type (e.g., full name instead of initials), or failing to populate when it should.
Common field mapping issues on intake packet Dynamic Files include:
- Date fields: A date auto-populates on the wrong page or in the wrong spot, or a date that should be left blank for manual entry is being pre-filled.
- Name/Initials fields: A field meant to show only initials is displaying the full name, or vice versa.
- Checkbox fields: Checkboxes that should be pre-filled based on patient data are not checked, or they are pre-filled but locked (not editable after population).
- Fields that should NOT auto-populate: Certain fields are incorrectly mapped and are pulling in data when they should remain blank for the user to fill in manually.
- Fields that SHOULD auto-populate: Data like intake agent name, patient date of birth, or current date is not appearing where expected.
What to do if you notice a field mapping issue:
1. Identify the exact location: Note the Dynamic File name, the specific page number, and which field is affected.
2. Describe the expected behavior: Specify whether the field should auto-populate (and with what data), remain blank for manual entry, display initials instead of full name, pre-fill a checkbox while keeping it editable, etc.
3. Take a screenshot: Capture the page showing the incorrect behavior, highlighting or annotating the specific field(s).
4. Submit a support request: Contact Bolt Support with the Dynamic File name, page number, field description, expected behavior, and your screenshot. Include the URL of the affected patient record if possible.
5. Bolt Support will update the field mapping: The PDF Engine configuration for your Dynamic File will be adjusted so that fields populate correctly. Once the fix is applied, it will take effect for all future generations of that Dynamic File.
Important notes:
- Field auto-population settings are configured per Dynamic File template. A fix applies to all future uses of that template, not just one patient record.
- Some fields (like checkboxes) can be configured to both pre-fill AND remain editable, so users can modify them after auto-population if needed.
- Certain data points (such as intake agent name) may not be available for auto-population depending on your workflow configuration. In those cases, the field will need to be filled in manually.
- Already-generated documents on existing patient records may need to be regenerated after a fix is applied to reflect the corrected field mappings.
