How can I request that auto-populated fields on a Dynamic File be locked so caregivers cannot edit them, or request that additional fields (like address/apt #) be auto-populated?
When your agency uses Dynamic Files (such as Criminal Background Info Sheets or similar compliance documents), the PDF Engine can be configured to auto-populate caregiver data (e.g., name, address, date of birth) into specific fields. Two common configuration requests arise:
1. Locking auto-populated fields: If a Dynamic File has fields that are auto-populated with caregiver data but the caregiver can still edit or overwrite them, you can request that those fields be locked (read-only) so the caregiver cannot modify the pre-filled information. This is especially important for compliance-sensitive documents where data accuracy is critical.
2. Adding new auto-populated fields: If certain fields on your Dynamic File are not currently being auto-populated (e.g., Address Line 2 / Apt #), you can request that those fields be mapped to the corresponding caregiver profile data so they are automatically filled in.
These configuration changes apply across all language versions of the same Dynamic File (e.g., English, Spanish, Chinese, etc.), so be sure to specify all language versions and pages that need updating.
How to submit a request:
1. Identify the specific Dynamic File name, language version, and page number that needs updating.
2. Clearly note which fields should be locked (made read-only for the caregiver) and/or which fields need to be newly auto-populated.
3. Include a screenshot highlighting the specific fields in question if possible.
4. Submit a support request through Bolt HC with these details.
Important notes:
- Locking fields means the caregiver will see the pre-filled data but will not be able to change it when completing the document via the Caregiver Portal.
- These are backend configuration changes handled by the Bolt HC team — they are not self-service at this time.
- Changes typically apply to the Dynamic File template, meaning all future document sends will reflect the update. Previously completed documents are not retroactively changed.
- When submitting requests for multi-language documents, ensure the correct language version is referenced, as each version may need to be updated separately.
